POSITION: Turtle Mountain Community Schools Assistant Superintendent Secretary

TERM OF EMPLOYMENT: 12 Months

LOCATION: Derrick Dixon Event Center

EVALUATION: As required by NDSCC and Belcourt School District #7 policy

QUALIFICATIONS:  

Associates Degree in Business or Secretarial Science.

 

Position Sensitivity Level: Low Risk

Communication Skills

Shows courtesy and respect to students, parents, members of the public, and other staff members in all face-to-face and telephone communications. Has the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals; understands written and oral instructions. Has the ability to communicate clearly in speaking to students, staff, and parents. Can prepare correspondence, reports, and other written communications in final format from oral instructions or from drafts, notes, or other documents ensuring grammatical correctness and spelling. Has the ability to communicate clearly and concisely in written form (e.g., reports, business correspondence, newsletters, handbooks, and procedure manuals) within the school system to students and staff. Has the ability to communicate clearly and concisely in written form to parents.

 

Computer Skills

Can navigate using web browsers; can execute web searches and communicate via email. Understands basic file manipulation (open, edit, save, copy, cut, paste) and printing of documents. Can effectively utilize office-related applications (e.g., Microsoft Word, Excel, PowerPoint, Outlook, Publisher, Google Suite). Has knowledge of and ability to utilize local and network accounts. Can navigate/effectively use peripherals (e.g., interactive whiteboard, projectors, cameras, printers, pda, etc.). Possesses knowledge and ability to access and navigate web-based applications. Has knowledge or experience using students and other information systems(s).  Can effectively utilize advanced features of office related applications (eg. Mail merge, advanced spreadsheet uses such as formulation, functions, sophisticated sorting and search techniques, text configurations, cell naming, graphing, exporting and importing data, creating and manipulating files types)

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Maintains Assistant Superintendent’s calendar and schedule.

Maintains all files for Assistant Superintendent/HR Director.

Types correspondence, manuals, handbooks, reports, minutes, etc. from oral instructions or from drafts and notes.

Prepares documents and maintains files of all sensitive and/or confidential materials.

Keeps and maintains an electronic file of all personnel files.

In charge of maintaining paperwork/applications for the BSD Human Resources Department.

In charge of fingerprinting and background checks for Belcourt School District (BSD).

In charge of fingerprinting for all substitute teacher licensure.

Process all authorized purchase orders and invoices.

Ensures that all district payables are remitted in a timely manner.

In charge of the Human Resources Department on-boarding process of new staff members.

Receives visitors.

Makes travel arrangements and maintains travel voucher files.

Maintains staff roster.

Maintains substitute roster for BSD.

Maintains teacher licensure for BSD in regard to expiration/renewal.

Provides reminder to BSD staff regarding any expiring licenses, credentials, permits and endorsements.

Answers questions of staff/public professionally and respectfully.

In conjunction with Asst. Supt. secretary will be expected to maintain timesheets/leave slips for Asst. Superintendent’s staff.

Maintains accurate and complete records as required by law, district policy and established administrative procedures.

Is familiar with and abides by applicable confidentiality, privacy, FERPA, FLSA, and HIPPA regulations.

Takes necessary and reasonable precautions and actions to provide for student and staff safety and to protect equipment, materials, and facilities.

Answers to Assistant Superintendent/HR Director.

Other duties as assigned.
